GENERAL PHOTOGRAPHY & VIDEOGRAPHY TERMS AND CONDITIONS

PAYMENT TERMS
To confirm a booking, a non-refundable deposit is required together with proof of payment. The deposit amount and remaining balance are specified in the approved quotation on a per-client basis. All payments must be settled in full in accordance with the agreed payment plan prior to the release of any images or video content and must be supported by proof of payment.
All payments are non-refundable except where services are not rendered, in which case any refund shall be limited to amounts paid less costs already incurred.

CANCELLATION AND REFUNDS
In the event of cancellation by the client, all payments made shall be forfeited as liquidated damages, except where services are not rendered, in which case any refund shall be limited to amounts paid less costs incurred. Failure to comply with the agreed payment schedule will result in cancellation of services.

CONTRACT HIERARCHY
In the event of any inconsistency between this agreement and any quotation, invoice, or written communication, the approved quotation and invoice shall prevail, followed by these General Contract Terms and Conditions.
Where an independent quotation or contract is issued for album orders, such documentation shall prevail for album-related terms.

SESSION PREPARATION AND SCHEDULE
Clients must ensure adequate working space and suitable conditions for setup. Session time begins upon completion of setup. Majlis Manara Creative Space W.L.L. is not liable for compromised quality or results caused by inadequate space, overcrowding, restricted movement, or environmental limitations.
Session timing is based on the duration agreed in the contract and is not adjusted for client delays or late starts. Any delay caused by the client, guests, venue, or third parties will not reduce or shift the agreed session end time.
Any request to amend the agreed start time or schedule must be communicated in writing no less than twenty-four (24) hours in advance and is subject to availability. Requests made within twenty-four (24) hours of the scheduled start time may not be accommodated, and the originally agreed schedule shall remain in effect.
Majlis Manara Creative Space W.L.L. is not obligated to delay, extend, or reschedule services to accommodate client delays, particularly where subsequent bookings or prior commitments exist. Where an extension is requested and availability permits, such extension shall be treated as additional coverage and charged in accordance with the agreed rates.
The client acknowledges that cooperation of all parties involved is essential to achieving optimal results.

DELAYS AND ACCESS RESTRICTIONS
Majlis Manara Creative Space W.L.L. is not responsible for reduced coverage or compromised results due to restricted access, venue limitations, third-party interference, or schedule deviations beyond its control. Session time will not be extended to compensate for such circumstances.

TRAVEL EXPENSES
Travel expenses are waived for standard locations within Bahrain. Additional travel charges apply to the following destinations and all locations outside Bahrain, with fees determined based on location and job requirements:
Durrat Al Bahrain and surrounding areas
Jumeirah Gulf of Bahrain and surrounding areas
All standalone islands surrounding Bahrain

ADDITIONAL COVERAGE
Additional coverage is charged on an hourly basis, unless otherwise specified on the approved quotation, calculated from the commencement of the next full session hour at the rate specified in the approved package. Requests for additional coverage during the session are subject to availability and cannot be guaranteed. Where availability permits, the client may be required to sign an additional coverage agreement on site prior to continuation of services.

LIGHTING REQUIREMENTS
Clients must disclose shoot-location lighting conditions at least forty-eight (48) hours prior to the event and ensure that suitable electrical outlet points are available within a reasonable distance for photographic equipment. Lighting preparation is based solely on the information provided, and Majlis Manara Creative Space W.L.L. is not required to supply additional lighting beyond the disclosed conditions or to rearrange, unplug, or interfere with venue electrical setups.
Majlis Manara Creative Space W.L.L. is not liable for compromised quality resulting from inadequate, undisclosed, or venue-controlled lighting or power access. Any lighting provided is for photographic purposes only.

LIGHTING CONTROL, GUEST INTERFERENCE, AND SPONTANEOUS MOMENTS
Majlis Manara Creative Space W.L.L. plans lighting based on agreed locations, timelines, and event flow. Image quality depends on subjects remaining within designated lighting areas and reasonable control of the shooting environment.
The photographer shall not be held liable for variations in lighting quality or visual consistency caused by guest interference with lighting equipment, guests obstructing lighting, subjects moving outside designated lighting areas, crowd congestion, spontaneous event flow, or where lighting placement is restricted by the client, venue, or event coordinator.
While reasonable efforts will be made to guide subjects, the photographer is not required to interrupt the event or enforce compliance in a manner that disrupts the atmosphere. The client acknowledges that prioritising spontaneity may result in candid or documentary-style images rather than uniformly lit or posed images.

REQUESTED PHOTOGRAPHS AND GUEST COVERAGE
Majlis Manara Creative Space W.L.L. will make reasonable efforts to provide comprehensive coverage; however, the capture of any specific individual, guest, grouping, or moment is not guaranteed unless expressly requested and reasonably achievable.
Clients are responsible for identifying priority photographs. Missed photographs due to guest unavailability, crowd congestion, schedule changes, or spontaneous event flow shall not constitute a breach of contract.

POST-PRODUCTION AND TIMELY DELIVERY
The initial gallery may be made accessible within one (1) week to one (1) month for standard sessions, and up to six (6) months for weddings and corporate projects.
Final deliverables will be delivered within a maximum of three (3) months following final client approval and settlement of all outstanding payments. Majlis Manara Creative Space W.L.L. reserves the right to withhold delivery until full payment is received.
Any products not finalized within one (1) year of the event date will be deemed void and must be reordered.
No specific image, moment, or outcome is guaranteed beyond the scope expressly agreed in writing.

ONLINE GALLERY DELIVERY, DOWNLOAD RESPONSIBILITY, PRIVACY & USB OPTIONS
Edited images are delivered via a secure, password-protected online gallery or download link. Delivery via online gallery does not constitute a backup or archival service.
The client is solely responsible for downloading and safely storing all delivered files. Majlis Manara Creative Space W.L.L. is not liable for failure by the client to download, back up, or preserve files.
The gallery will remain active for a minimum of three (3) months and may be extended up to one (1) year, subject to written request by the client and confirmation by Majlis Manara.
After three (3) months, Majlis Manara will issue written notification via email to the email address used by the client to access the gallery, providing seven (7) days’ notice prior to expiration.
Majlis Manara bears no liability for files not downloaded before gallery expiry.
The gallery link is provided only to the primary client. Once delivered, Majlis Manara bears no responsibility for privacy breaches, unauthorized access, sharing, disclosure, or misuse of images resulting from client actions, third-party access, system compromise, or force majeure.
USB, SSD, or other physical storage media are not included by default and are available only upon request at an additional charge, determined by storage type, capacity, data volume, and preparation time.

IMAGE SELECTION AND EDITING OPTIONS
Majlis Manara Creative Space W.L.L. retains full artistic discretion over image selection and editing.
Images that are rejected, culled, test shots, duplicates, misfires, outtakes, or otherwise deemed unsuitable are not deliverables and are not available under any circumstances.

DATA ARCHIVING AND STORAGE
Any and all files associated with a client project, including delivered files, previews, galleries, working files, rejected files, and backups, are retained for three (3) months following final digital delivery via online gallery or download link, unless extended storage is agreed in writing.
After this period, Majlis Manara Creative Space W.L.L. has no obligation to retain, restore, or recover any files, and such files may be permanently deleted without notice.

PRIVACY AND SECURITY
Client data is stored within professional CRM, gallery, and accounting systems and may be accessed by accountants and auditors for regulatory purposes.
Majlis Manara Creative Space W.L.L. implements reasonable administrative and technical measures appropriate to its business; however, absolute security cannot be guaranteed, and Majlis Manara is not liable for unauthorized access occurring despite such measures.

CLIENT RESPONSIBILITIES AND PERMISSIONS
The client is responsible for securing all necessary permissions, permits, and access approvals required.

EQUIPMENT FAILURE AND BACKUP
Reasonable measures are taken to maintain equipment and backups. Liability for equipment failure or data loss beyond reasonable control is limited in accordance with this agreement.

SAFETY AND RIGHT TO WITHDRAW
Majlis Manara Creative Space W.L.L. reserves the right to suspend or terminate services if conditions become unsafe. No refund shall be due for services rendered.

FORCE MAJEURE
Majlis Manara Creative Space W.L.L. is not liable for failure or delay due to events beyond reasonable control.

LIMITATION OF LIABILITY
Total liability for any claim arising from services is limited to the total fees paid. Majlis Manara Creative Space W.L.L. is not liable for indirect, consequential, emotional, or reputational damages.

GOVERNING LAW AND JURISDICTION
This agreement is governed by the laws of the Kingdom of Bahrain. All disputes fall under the exclusive jurisdiction of the courts of the Kingdom of Bahrain.
